Parent & Student Consent Policy

Consent should be clear before students participate.

This policy explains consent expectations for students, parents, and guardians.

Legal review note: This consent policy requires review by qualified legal counsel, especially for minors, recordings, school or organization participation, and international users.

Purpose

YUVA Club is designed for supervised youth leadership development, including registration, presentation practice, research activities, AI-assisted feedback, certificates, volunteer-hour tracking, parent visibility, and organization participation.

Parent or Guardian Permission

The current registration form requires parent or guardian name, relationship, email, phone number, and parent permission acknowledgement. Students must have parent or guardian permission to participate when required by YUVA Club policy, law, or organization rules.

Legal review note: The code currently requires parent information and parent permission acknowledgement. A separate verified parental consent workflow should be reviewed and strengthened before broad launch.

Student Agreement

  • Follow the YUVA Club Code of Conduct.
  • Use the platform honestly and respectfully.
  • Submit only appropriate educational content.
  • Avoid sharing unnecessary sensitive personal information.
  • Use AI feedback as coaching support, not as final judgment.
  • Tell a parent, guardian, organization adult, or YUVA Club support contact about safety concerns.

Information Collected During Registration

Registration may collect student information, parent or guardian contact information, school and grade, city/state, date of birth, age, student email or phone if provided, learning interests, presentation topics, availability preferences, organization code if applicable, password, Code of Conduct agreement, recording acknowledgement, and parent permission acknowledgement.

Account Creation and Passwords

Students create a password during registration. Parent accounts may be created or activated through parent workflows. Organization administrators are invited and create their own passwords through secure invitation links. Passwords are not intended to be visible to administrators.

AI-Assisted Feedback Consent

YUVA Club may use AI-assisted tools to help review research, presentation outlines, sources, prepared questions, selected topics, and related learning information when AI is configured. AI feedback is coaching support. Human administrators may review AI output before applying official scores, feedback, certificates, or rank changes.

Legal review note: Confirm whether additional opt-in or opt-out controls are required for AI processing.

Upload and Recording Consent

Students may submit research files or presentation preparation materials. Accepted upload types in the current code include PDF, PowerPoint, Word documents, and image files. Students should upload only materials they have permission to use and should avoid uploading unnecessary personal information.

The current registration form requires acknowledgement that YUVA Club sessions may be recorded for educational purposes. The platform includes protected Zoom meeting information, but automated recording storage is not currently implemented in code.

Legal review note: Before recording sessions, define recording notices, consent process, access controls, storage, retention, deletion, and jurisdiction-specific legal requirements.

Organization Participation

Students may join as individual members or through an organization code or invitation. Organization administrators may manage organization-specific memberships and assignments. Organizations do not own the student's global YUVA identity, certificates, portfolio, presentations, volunteer history, or global student account.

Parent Visibility

Parents may access linked student records through parent accounts. Parent access is limited to backend-verified parent-student relationships.

Certificates, Portfolios, Volunteer Hours, and Safety Reports

YUVA Club may track and display certificates, badges, presentation activity, rank or level progress, volunteer or service hours, and portfolio summaries. Students may report concerns through the platform. YUVA Club may review and act on safety reports to protect students, families, organizations, and the learning community.

Withdrawal and Account Requests

Parents, guardians, or eligible students may contact support@yuvaclub.app to request help with access, correction, withdrawal, account deletion, organization removal, or privacy questions.

Some records may be retained for audit, safety, certificate history, organization accountability, legal, or platform integrity reasons.
